Privacy policy
Last updated 29 June 2026
This privacy policy explains how we collect, use, and look after your personal information when you visit nicuneuroscience.com, sign up to hear from us, buy one of our courses, or get in touch. It also explains your rights and how the law protects you.
We know that handing over your details, especially around something as personal as neonatal care, takes trust. We take that seriously, and we only ask for what we genuinely need.
Who we are
NICU Neuroscience is part of Leo's Neonatal, a Charitable Incorporated Organisation (CIO) registered in England and Wales.
- Charity registration number: 1179901
- Registered address: 8 Hall Wood Close, Yarm, TS15 9FR
- Contact for data protection questions: [email protected]
- ICO registration number: ZB540616
We are the "data controller" for the personal information described in this policy. That means we are responsible for deciding how it is held and used.
The information we collect
Depending on how you interact with us, we may collect:
- Details you give us through a form. When you join our newsletter, register interest in our parent resources, or send a speaker enquiry, we collect your name, email address, and anything you choose to write in an enquiry message.
- Details when you buy a course. If you purchase a course, we (through our platform provider) collect your name, email address, billing information, and a record of your purchase. Card payments are handled securely by Stripe; we do not see or store your full card details.
- Information you send us directly. If you email or message us, we keep a record of that correspondence.
- Technical and usage information. Like most websites, we automatically collect some information about your device and how you use the site, such as your IP address, browser type, and the pages you visit. More detail is in our separate Cookies Policy.
We do not deliberately collect special category data (such as health information) through our forms. Please do not include sensitive personal details in free-text enquiry boxes.
How we use your information, and our lawful basis
Under UK data protection law, we must have a lawful basis for using your information. Our bases are:
- Consent. When you sign up to our newsletter or register interest in resources, we use your details to send you those emails because you have asked us to. You can withdraw consent at any time (see "Your rights" below).
- Performance of a contract. When you buy a course, we use your information to give you access, take payment, and provide support.
- Legitimate interests. When you send an enquiry, we use your details to respond to you. We also use limited technical information to keep the site secure and working properly. We only rely on this basis where your interests and rights do not override ours.
- Legal obligation. We keep certain records, such as transaction records, to meet our accounting and tax obligations.
We will never sell your personal information.
Who we share it with
We use a small number of trusted service providers ("processors") who handle data on our behalf and only on our instructions:
- Kajabi, which hosts our website, course platform, forms, and email tools.
- Stripe, which processes course payments.
- Tally, which we use for some feedback and enquiry forms.
- Google, whose Fonts service is used to display the site's typography.
We may also disclose information if we are required to by law.
Sending information outside the UK
Some of our providers are based outside the UK, including in the United States. Where personal information is transferred outside the UK, we make sure it is protected by an appropriate safeguard recognised under UK law, such as the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or the UK Extension to the EU-US Data Privacy Framework.
How long we keep it
- Newsletter and interest sign-ups: until you unsubscribe or ask us to remove you, after which we delete your details within 30 days.
- Enquiries: for as long as needed to deal with your enquiry and a reasonable period afterwards, then deleted.
- Course purchase and financial records: for 6 years to meet legal and accounting requirements.
Your rights
Under UK GDPR you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that is wrong or incomplete;
- ask us to delete your information in certain circumstances;
- ask us to restrict or object to how we use it;
- ask us to transfer your information to another organisation; and
- withdraw your consent at any time, where we rely on consent.
To exercise any of these, email us at [email protected]. We will respond within one month. There is normally no charge.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office (ICO), though we would be grateful for the chance to put things right first.

Keeping your information safe
We take reasonable technical and organisational measures to protect your information, and we work with providers who do the same. No method of transmission over the internet is completely secure, but we take steps to reduce the risks.
Children
This website and our courses are intended for adults, in particular healthcare professionals and parents. We do not knowingly collect personal information from children. If you believe a child has given us their information, please contact us and we will delete it.

We may update this policy from time to time. When we do, we will change the "last updated" date at the top. Significant changes will be made clear on the site.
